Share a trip
Every person who can open a trip needs their own account and a membership on that trip. A guest name in the traveller list does not grant access.
Choose what someone can do
| Trip role | What it allows |
|---|---|
| Owner | Edit the trip and manage its travellers and access. |
| Planner | Edit the plan, budget and bookings. |
| Viewer | Read shared plans and documents, without financial details. |
An account licence also limits editing. A Viewer licence remains read-only even if an Owner or Planner role has been saved for that person. A trip must retain at least one registered Owner.
Add a registered traveller
- Open Edit trip and choose Add traveler in traveller management.
- Enter the complete email address, then leave the field to check for a matching account.
- Review the name and role.
- Check Traveler if they are travelling, or uncheck it if they are only helping plan.
- Choose Save traveler.
Partial email suggestions are not provided. If the person is already linked, edit their existing entry instead.
The Traveler checkbox changes participation, not access. Per traveller estimates and relevant packing selections use the checked people.
Owners and Planners with editing permission can check and update packing progress for travelling companions, including guests without accounts. Helpers need not be travelling themselves; Viewers manage only their own progress. See packing lists for choosing whose checklist to use.
Invite someone who does not have an account
A Power User or Travel Agent who owns the trip can use the same dialog. When the full email has no matching account, the action becomes Invite traveler. You can also choose Add as a guest instead to record someone without account access.
Invitations grant Viewer access when accepted. The email link opens account setup directly, without a second email or code. New recipients create an account and join the trip; existing recipients sign in and choose Accept invitation after checking the displayed account. A sign-in provider may use a different email address. Keep the personal link private. The selected Traveler checkbox carries through for a new membership.
Invitations expire after 72 hours. Pending invitations can be resent or revoked; a resend replaces that trip's earlier link. Resending may be temporarily limited, so wait for the indicated cooldown.
A revoked invitation, archived trip or sender who is no longer eligible cannot grant access. An email address matching a profile does not automatically add anyone to a trip.
Share documents deliberately
Attachments default to Owners and Planners only. Choose Everyone on this trip for documents Viewers need. Display notes and research notes also have different audiences; see notes and documents.
Copies of a trip make the copying user its sole Owner and retain other members as Viewers. Imports do not recreate the source trip's membership. See copying and exporting.
