Keep track of bookings and payments

Open Edit trip → Bookings & payments. Existing bookmarks still open the standalone bookings workspace. It is available to Owners and Planners from Plan onward.

On Edit trip, use an accommodation or itinerary item's ⋯ menu to choose Edit booking or Payments. Travel with a linked purchase has a Bookings menu beside its travel controls. These forms open without leaving your plan. If the item has no estimate yet, choose Add booking details, then Add and continue. Save the booking before recording payments, or use Save and open payments. Shared purchases use the same booking and payment history.

From Bookings and costs, an item's ⋯ menu also offers Edit accommodation, Edit itinerary or Edit travel for its linked plans. Save and return to the updated bookings list without switching pages.

The app records what you arrange elsewhere. Saving a booking or cancellation does not contact the provider.

When reading a trip, Owners and Planners can choose Budget and bookings from the trip's ⋯ menu for a read-only overview. It combines estimates, booking balances and payment history. Return to Edit trip to change financial records.

Expand Currency needed to see Remaining to pay by category and currency. Each currency has its own total, helping you plan which currencies to have available. Agreed prices take priority over estimates, and recorded payments reduce what remains. Unknown prices are flagged; refunds appear separately. The daily allowance remains an estimate for the full trip. This does not tell you whether a provider accepts cash or card—check that with the provider.

Remind yourself to make a reservation

Choose Edit booking, set Reservation Required, and enter Next payment due as the date you need to book or pay. Save the booking. This means a reservation is still needed; it does not mean anything has been reserved or confirmed.

This status leaves transit details and upstream plans editable and does not fill an agreed price or commitment date. Existing actual reservation or payment history still has its normal protection.

Record an agreement

  1. Find the expense and choose Edit booking.
  2. Set its booking status and reference.
  3. Check the Agreed cost, currency and commitment date.
  4. Add useful payment or cancellation dates where offered.
  5. Choose Save booking, or Save and open payments.

On the first commitment, unchanged agreement fields can default from the estimate. Review them before saving. If you later change the budget price, an existing agreement follows it automatically until a payment has been recorded. Refunded, voided or deleted payments still protect the agreement. Original estimate snapshots and payment history stay unchanged. Blank estimates and cancellation costs do not replace an agreed price.

For an explicitly free item with no existing booking history, No booking required records a zero agreed cost without inventing a payment.

Record a payment or refund

Open Payments on the saved booking. Enter the amount in the provider's currency, rather than a bank-statement conversion. A payment must be greater than zero.

A refund must be linked to an original payment and cannot exceed what remains refundable from it. To correct a mistaken payment, review the deletion confirmation: linked refunds may also be deleted.

A shared ticket has one booking and payment history even if several legs or segments use it.

Understand the totals

  • Total committed covers reserved and confirmed commitments.
  • Total expected also considers the other expected costs and daily allowance shown on the page.
  • Total paid is payments less refunds.
  • Remaining to pay compares expected costs with payments. A negative value indicates credit or a refund due.

Missing amounts or conversions leave partial totals. Where an estimate is used because no agreed price exists, it is marked as an estimate. Budget and booking totals can differ because one uses researched estimates and the other prefers agreed prices. Contingency is not a payment or commitment.

Cancel without losing the record

Cancel with the provider first, then mark the booking Cancelled. Enter Total cost after cancellation: zero, a charge, or Not yet known. Record any refund separately; cancellation does not erase payments.

Protected booking and payment history can stop you removing a plan or unlinking its expense. Changing the status back to Not booked is not a substitute for cancellation.

Remove expense offers a separate permanent deletion workflow. Read the warning carefully: it can delete the booking, payments, refunds and history, and leave surviving plans without a price. It cannot be undone.

The totals appear first. Expand How these totals are calculated for definitions, or Currency needed to plan payment currencies. Missing prices or conversions make totals partial; a dash does not mean free.
